Project Manager – Landscape & Plant Supply

We are seeking a proactive and experienced Project Manager to lead the end-to-end planning and execution of landscape and plant supply projects across Gaia Greening’s international and domestic operations. This role involves managing complex logistics, supplier networks, and regulatory compliance to ensure timely, high-quality, and biosecure plant deliveries.

You will oversee a small team, coordinate cross-border shipments, and collaborate closely with nurseries, freight agents, and internal stakeholders to ensure seamless project execution. This is a high-responsibility position requiring operational leadership, excellent communication skills, and strong problem-solving capabilities.

Key Responsibilities

Project Leadership & Delivery Oversight

1 Manage full-cycle project delivery from procurement through final shipment and client handover

2 Develop and maintain project timelines across multiple suppliers and countries

3 Proactively identify risks, manage critical path activities, and resolve delays or compliance issues

Team & Stakeholder Management

1 Lead and support a small team, ensuring effective delegation and accountability

2 Serve as the primary point of contact for internal teams, clients, nurseries, freight forwarders, and logistics providers

3 Provide hands-on leadership during key phases such as plant inspections, packing, and export

Logistics Strategy & Supplier Oversight

1 Oversee relationships with nurseries and freight providers, ensuring adherence to packing specs, documentation, and plant health standards

2 Review and approve freight plans, cost breakdowns, and shipping documentation

3 Ensure compliance with customs, quarantine, and international shipping regulations

Reporting & Continuous Improvement

1 Prepare progress reports, budget updates, and project timelines for senior management

2 Continuously improve project workflows, documentation, and systems for efficiency

3 Analyze recurring challenges and implement long-term process improvements

Skills & Attributes

1 Strong project management skills with a proven ability to manage timelines, teams, and multi-party communication

2 Working knowledge of botanical names and familiarity with common landscaping plants

3 Hands-on horticultural knowledge and skills

4 Confident in managing supply chains, freight documentation, and compliance

5 Highly detail-oriented with the ability to maintain a big-picture perspective

6 Decisive under pressure and capable of handling time-sensitive decisions

7 Comfortable working across different cultures and regulatory environments

Preferred Background

1 Minimum 5 years of experience in project management, horticulture, landscaping, logistics, or supply chain—ideally in international trade or agriculture

2 Demonstrated experience leading teams or managing cross-functional coordination

3 Familiarity with international freight, export documentation, and biosecurity standards

4 Proficiency in Excel and project management tools (e.g., Smartsheet, Gantt charts, or similar platforms)

5 Bilingual in Mandarin and English (spoken and written)
