Roles & Responsibilities:
The role of the School Academic Administrator is to provide front-lines services to the School and support to central operation. As a member of staff in the Design School’s Academic Administration team, the role holder will be expected to provide support on certain functions of the School and also to provide wide range services to the Department of Urban Planning and Design (one of the departments in the Design School) including administrative support to teaching and research, event /activities support, management of systems, and other areas where coordination and support are needed
* Support for department administration, such as department public area decoration
* Meeting organization and support, such as agenda creation, document preparation, minute-taking and action follow-up.
* Support for the examination and assessment processes, in conjunction with staff in the Registry, throughout the academic year, including moderation coordination, documents production, exam board organization and exam paper archiving.
* Support for academic quality assurance process, such as new programme and module validation, programme and module change process, professional accreditation, Annual Programme Review, Internal Periodical Review, and Degree Awarding Power application.
* Help with Department budget preparation, monitor on departmental budgetary spending, and arrange for departmental procurement.
* Support on departmental publication update and maintenance, such as departmental webpage, shared folder, departmental promotion material design and production.
* Support on research-related activities, such as answering enquiries related to different research funds, Teaching Assistant recruitment, and Summer UG Research Fund project coordination.
* Support on departmental event organization, such as field trip, exhibition, site visit, guest lecture, research seminar, and away day.
* Logistics support to staff, such as pay slips delivery, general enquiries, and attendance recording.
* Signposting and referrals services for staff, students and visitors.
* Provide back up to other team members when asked
* Other tasks assigned by team leader.
Qualifications:
Essential
* Bachelor's degree plus 3 years working experience
* Experience of working in an office environment covering a range of administrative tasks
* Experience of using the Microsoft Office suite in a workplace
* Awareness of cultural diversity within an international environment
Desirable
* Postgraduate qualification plus 3 years working experience
* Experience of working in HE context, preferably in an international environment
* Knowledge of UK higher education system
