主要工作职责Main Responsibilities
1. 日程管理:负责总经理以及其他高管的日常行程,辅助总经理处理好日常的办公事务,包括会议、差旅和活动的安排、提醒及协调,确保日程合理、无冲突,并预留必要的缓冲时间;
Schedule Management: Responsible for managing the daily schedules of the General Manager and other senior executives. Assist the General Manager in handling routine administrative tasks, including arranging, reminding, and coordinating meetings, business travel, and events. Ensure schedules are well-organized, conflict-free, and include necessary buffer time.
2. 会议管理:负责总经理各类会议(包括内部管理层会议、董事会、客户会议等)的全程协调,包括会议预约、通知、场地安排 、设备调试及会议材料准备;根据会议需要列席会议,准确记录并整理会议纪要,明确行动项、责任人和截止日期,并负责跟踪会议决议的落实与执行情况;
Meeting Management: Responsible for coordinating all types of meetings for the General Manager (including internal management meetings, board meetings, customer meetings, etc.), encompass-ing meeting scheduling, notifications, venue arrangements, equipment setup, and preparation of meeting materials. Attend meetings as required, accurately record and organize meeting minutes, clearly define action items, responsible parties, and deadlines, and track the implementation and execution of meeting action plans.
3. 差旅安排 :全面负责总经理的国内外差旅安排,包括签证、机票、酒店、地面交通及差旅日程的制定,确保行程顺畅高效。负责处理总经理的日常费用报销、信用卡对账等事宜,确保准确合规;
Travel Arrangements: Fully responsible for coordinating the General Manager's domestic and in-ternational travel arrangements, including visas, air tickets, hotel bookings, ground transportation, and itinerary planning to ensure smooth and efficient travel. Handle the General Manager's daily expense reimbursements, credit card reconciliation, and related matters to ensure accuracy and compliance.
4. 文秘支持:起草、撰写、校对及归档总经理所需的各类商业信函、报告、演示文稿(PPT)及其他行政文件,确保其符合公司格式规范和专业标准;
Secretarial Support: Draft, compose, proofread, and file various business correspondence, reports, presentations (PPT), and other administrative documents required by the General Manager, ensur-ing compliance with company formatting standards and professional norms.
5. 办公室管理:协助维护总经理办公室的日常运营环境,接待重要访客,体现公司的专业形象。
Office Management: Assist in maintaining the daily operational environment of the General ***-ager's office, receive important visitors, and uphold the company's professional image.
6. 完成总经理交办的其他工作(如参与公司行政工作,参与专利文件准备和申请流程,参与高新企业申请以及认证流程等);
Perform other duties as assigned by the General Manager (such as assisting with site Admin jobs, participating in the preparation and application process of patent documents, and contributing to the application and certification process for HNTE (high-tech enterprise) status).
7. 企业文化与内部沟通:作为总经理与各部门之间的重要沟通桥梁,确保信息上传下达的准确、及时与高效。协助行政部门策划、起草和发布内部公告、管理层通讯、员工活动通知等,通过公司内部渠道(如邮件、公告板、Intranet、企业微信/Teams等)提升内部沟通的透明度和凝聚力;
Corporate Culture and Internal Communication: Serve as a vital communication bridge between the General Manager and all departments, ensuring accurate, timely, and efficient information flow in both directions. Assist the Admin department in planning, drafting, and distributing internal an-nouncements, management communications, and employee event notifications. Enhance trans-parency and cohesion in internal communication through company channels such as email, bulle-tin boards, the intranet, and corporate messaging platforms like WeChat official account/Teams.
8. 保密与合规:严格保守公司一切商业机密和敏感信息,包括但不限于战略规划、财务数据、人事变动和合同内容。确保所有工作流程和操作符合公司规章制度以及德国总部的合规要求。
Confidentiality and Compliance: Strictly safeguard all company trade secrets and sensitive infor-mation, including but not limited to strategic planning, financial data, personnel changes, and con-tract details. Ensure all workflows and operations comply with company regulations and the com-pliance requirements of SCHOTT headquarter
任职资格Experience and Competencies
1. 本科及以上学历;文秘、行政管理、英语、德语或相关专业优先;
Bachelor's degree or higher; preference given to candidates with degrees in secretarial studies, administrative management, English, German, or related majors.
2. 英语读写、口语流利;
Fluent in written and spoken English.
3. 欧美外资企业相关岗位3年以上经验;
More than 3 years of experience in relevant positions in foreign-funded enterprises.
4. 卓越的组织与规划能力、良好的执行力,出色的沟通与人际交往能力;
Exceptional organizational and planning skills, strong execution capabilities, and outstanding communication and interpersonal skills.
5. 工作认真细致,高度的谨慎与保密意识,良好的职业素养和职业操守;
Diligent and meticulous work ethic, with a high degree of caution and confidentiality awareness, coupled with strong professional integrity and ethical standards.
6. 能熟练MS office、SAP等办公软件,尤其是出色的PowerPoint技能;
Familiar with software such as MS office and SAP. Outstanding skills with PowerPoint requested.
7. 具备申请专利和高新企业认证经验优先。
Experience with regards patent application and HNTE application is a plus.
