职位描述

1. 文书起草与文件管理:
* 负责起草、撰写、校对及归档总经理所需的各类中英文文件,包括但不限于报告、演讲稿、会议纪要、商务信函、演示文稿等。
* 准确、高效地完成文件的录入、排版、打印、复印及分发工作。
* 建立并维护高效的文件管理系统(电子与纸质),确保信息的快速检索与高度安全。
2. 内联外传与沟通协调:
* 作为总经理的内外部联络枢纽,专业地接听电话、接收邮件、接待访客,并妥善处理各类信息。
* 高效协调总经理的日程安排,包括会议、差旅、宴会等,并提前做好相关准备与提醒。
* 充当公司与国内外客户、合作伙伴及内部各部门之间的沟通桥梁,确保信息传递的准确与流畅。
3. 会议与活动支持:
* 筹备、组织并跟进公司高层会议,做好会议记录,并跟踪决议事项的落实情况。
* 协助筹备公司内外部重要活动及商务会谈,提供必要的行政和后勤支持。
4. 总经理交办的其他任务:
* 协助处理总经理的日常事务,完成其临时交办的各项专项工作。

任职资格要求
必备条件:
61 学历与经验: 本科及以上学历,文秘、行政管理、商务英语等相关专业优先。至少2年以上总经理助理或高级行政助理相关工作经验。
61 语言能力:良好的文字功底, 英语口语流利,能作为工作语言进行无障碍的商务沟通、会议交谈及电话交流;具备优秀的英文书面表达能力。
61 形象气质: ***,***,举止大方得体,能代表公司及总经理的专业形象。
61 专业技能: 精通MS Office办公软件(Word, Excel, PowerPoint, Outlook)。

Key Responsibilities
1. Document Drafting and Management:
o Draft, prepare, proofread, and archive various documents in both Chinese and English for the General Manager, including but not limited to reports, speeches, meeting minutes, business correspondence, presentations, etc.
o Accurately and efficiently complete document entry, formatting, printing, copying, and distribution.
o Establish and maintain an efficient document management system (both electronic and physical) to ensure quick retrieval and high security of information.
2. Internal and External Liaison & Communication Coordination:
o Act as the primary point of contact for the General Manager internally and externally, professionally handling phone calls, emails, visitors, and managing information flow.
o Efficiently coordinate the General Manager’s schedule, including meetings, business trips, events, and banquets, ensuring all necessary preparations and reminders are in place.
o Serve as a communication bridge between the company and domestic/international clients, partners, and internal departments to ensure accurate and smooth information exchange.
3. Meeting and Event Support:
o Prepare, organize, and follow up on senior management meetings, take detailed meeting minutes, and track the implementation of resolutions.
o Assist in organizing important internal and external company events and business talks, providing necessary administrative and logistical support.
4. Other Tasks Assigned by the General Manager:
o Assist with the General Manager’s daily tasks and complete any ad hoc projects as assigned.

Qualifications
Essential Requirements:
61 Education & Experience: Bachelor’s degree or above, preferably in Secretarial Studies, Administrative Management, Business English, or related fields. Minimum of 2 years of experience as an Executive Assistant or Senior Administrative Assistant.
61 Language Skills: Strong writing skills in Chinese. Fluent spoken English, capable of using English as a working language for business communication, meetings, and phone conversations. Excellent written English skills.
61 Professional Image: Pleasant appearance, elegant demeanor, and professional conduct, representing the company and the General Manager with professionalism.
61 Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
