GUIS Overview:
Located on the delta bank of the Pearl River, and the MingZhu Bay in the Nansha District in Guangzhou, GUIS is a private international school that offers a hoslistic approach to learning in a respectful and inclusive environment with an approximately 1250 students in early childhood, elementary, and secondary programs. The early childhood program covers Nursery to Kindergarten. The Elementary program covers Grade 1, with development of Grade 2 to Grade 5 in subsequent years. The secondary program covers middle and high school from Grade 7 through Grade 12, with choiced pathways in the British A-Level curriculum and the US AP/AP Capstone curriculum system.

Position Overview:
The Enrollment Officer is responsible for supporting the admissions and enrollment processes for the organization, ensuring prospective students, clients, or participants have a smooth and efficient experience from inquiry through to enrollment. This role involves guiding applicants through the application process, verifying required documents, maintaining enrollment records, and providing excellent customer service to ensure a high rate of successful enrollment. The Enrollmment Officer reports to the Head of Admissions & Enrollment. Specific responsibilities will be prioritized based on the candidate’s prior experience and strengths.
Job Description and Responsibilities
Enrollment Process Management
61 Application Support: Assist prospective students/participants and families with the application process, providing guidance on required documentation, deadlines, and submission procedures.
61 Eligibility Verification: Ensure that applicants meet enrollment criteria by reviewing submitted documents and ensuring all necessary paperwork is complete and accurate.
61 Data Entry and Record Maintenance: Accurately input and maintain student or participant data in the enrollment data system, ensuring all records are up to date, secure, and in compliance with privacy regulations.
61 Communication: Maintain regular communication with prospective students, parents, or clients, providing updates about the status of their application and addressing any inquiries or concerns they may have.
Customer Service
61 Advising and Counseling: Provide advice to prospective students/families about programs and offerings, course requirements, and the benefits of enrolling. Act as a *** point of contact for enrollment-related inquiries.
61 Information Sessions: Participate in or lead information sessions (in-person or virtual) for prospective students/families to explain the enrollment process, program offerings, and benefits.
61 Follow-up: Conduct regular follow-up with applicants to ensure they complete the enrollment process, including any outstanding paperwork or payments.
Data and Reporting
61 Enrollment Reporting: Generate regular reports on application and enrollment trends, tracking the progress of applicants and providing updates to management as necessary.
61 Trend Analysis: Monitor and report on enrollment trends and demographic data to assist in forecasting and planning for future enrollment cycles.
61 Admissions Metrics: Assist in tracking key performance indicators (KPIs) related to the enrollment process, such as conversion rates, application completion, and enrollment figures.
Administrative Support
61 Processing Enrollment Documents: Review, process, and file all necessary documentation, such as transcripts, proof of qualifications, forms, and contracts.
61 Database Management: Manage and update the enrollment database to ensure that all records are current, accurate, and in compliance with organizational policies.
61 Coordination with Other Departments: Work closely with other departments (financial aid, Registrar, student services, academic advising, etc.) to ensure all required components of the enrollment process are met and deadlines are adhered to.
Event Coordination
61 Recruitment Events: Support the organization and execution of recruitment events, such as open houses, campus tours, webinars, or fairs, aimed at attracting prospective students and explaining the enrollment process.
Continuous Improvement
61 Process Improvement: Provide feedback on the enrollment process to suggest improvements that could streamline the experience for applicants and increase efficiency.
61 Training and Development: Participate in training and development activities related to admissions, customer service, and compliance to enhance personal skills and improve enrollment processes.
Qualifications:
Education and Experience
61 Bachelor’s degree in Education, Business, Communications, or a related field (or equivalent work experience).
61 At least 3-5 years of experience in customer service, admissions & enrollment, or a related administrative field.
61 Proficient in using office software (Microsoft Office Suite) and student management systems (e.g., InfoCare, School 365, other APP platforms).
61 Previous experience in K-12 education, higher education, vocational training, and/or student services preferred
61 Familiarity with enrollment software and/or customer relationship management (CRM) systems.

61 Excellent Communication: Strong written and verbal communication skills, with the ability to explain complex information in a clear and concise manner.

61 Problem-Solving: Ability to troubleshoot issues and provide solutions to applicants experiencing challenges during the enrollment process.
61 Tech-Savvy: Comfortable working with student information systems, CRM platforms, and basic office software. Ability to quickly learn new technologies or platforms.
61 Data Entry: High accuracy in entering data and maintaining student or participant records.
